Venue & Hotel

Embassy Suites Lake Buena Vista South (4955 Kyngs Heath Rd, Kissimmee, FL) is the Orlando site for GACX Forum 2021.

GACX's group room rate is $119/night (+tax) for a spacious suite with one king bed or two queen beds. A full, hot breakfast is included. Rate is available for reservations made before September 10.

Travel

Airport

Orlando International Airport (MCO) is about a 20-minute drive from Embassy Suites Lake Buena Vista South.  

Shuttle

A free shuttle will be available between Orlando International Airport and Embassy Suites for those arriving on Monday afternoon and evening (Sept 27) and departing Thursday after the forum ends (Sept 30).  

Parking

Free parking at the hotel is available for all registered forum participants. 

Additional Information

Networking and collaboration are two key goals of the GACX forum. Participation in the whole event is strongly encouraged for the benefit of all participants. 

While a few participants may need to arrive late or depart early, GACX cannot provide any discounts or other adjustments to the registration cost.   

All registration fees for the Orlando site will be fully refunded if the event is officially cancelled for any reason. A full refund is also available if a participant has a personal or immediate family medical emergency (including a diagnosis of COVID or required quarantine due to exposure).  

Please note that the hotel, airlines, and others may have different cancellation and refund policies, which is the responsibility of each participant. 

Orlando registration fees are fully refundable for cancellations confirmed 30 days before the event (August 29, 2021). A 50% refund will be provided up to 10 days before the event (September 18, 2021). Unless otherwise stated, there can be no refunds less than 10 days prior to the event.

Registration may be transferred between participants at no cost up to 7 days before the event. If the registration types are not equivalent, the difference will need to be paid. 

GACX reserves the right, at the sole discretion of the event team, to cancel and refund the registration fees of any participant deemed a risk to the health and safety of others. 

Both the GACX event team and venue staff will be carefully following all COVID-related guidelines provided by federal, state, and local authorities at the time of the event. To ensure proper social distancing in the meeting space, the total number of registered participants will follow recommended capacity guidelines. 

All participants are expected to comply with current social distancing and mask requirements during the event. Because safety measures related to the pandemic may change, participants can expect to receive an updated list of safety precautions prior to arriving.

GACX reserves the right, at the sole discretion of the event team, to cancel and refund the registration fees of any participant deemed a reasonable risk to the health and safety of others in attendance. 

GACX is unable to provide registration discounts, scholarships, or other financial assistance to students or international participants. 

Please note: International guests should understand that COVID-related requirements for entry into the United States may change at any time. Current information is available from the US State Department (https://travel.state.gov/content/travel/en/international-travel.html)

International participants that have a relationship with a US-based organization should first attempt to secure a letter of invitation through that organization.  

Because of capacity limitations at the Orlando site created by COVID, GACX is limiting international participants only to those individuals invited by a current member organization.

Letters of invitation issued by GACX can only support travel to and from Orlando and only cover the dates necessary to attend the event.
